Tax accounting software has its basics in each of the three elements of the title. Accounting being the production of the financial accounts in a template format suitable for the tax system. Tax and tax software denotes the inclusion of the tax rules with software being a description of the fact that the process is automated.

Self employed accounting

To be most effective the self employed accounts should be in a format that can eventually be used by the accounts program to produce the financial information required to complete the tax returns. Since in the UK as in many countries there are several types of tax returns then the accounting software should cope with all variations.

Database accounting software is frequently based upon a chart of accounts which is not necessarily tax return friendly. Accounting template spreadsheets being more fixed in nature do offer an opportunity to be tax friendly.

Facility should be available to distinguish between revenue transactions and the purchase of fixed assets as fixed assets are treated differently for tax purposes being subject to capital allowances which are tax allowances written off against the net taxable profit according to the tax rules as opposed to being able to deduct the whole cost of that asset in the one financial year.

Income Tax and Vat Tax Return Software

In the UK the self employed accounts need to supply the numbers for up to three different variations of the self employed tax return. One of two tax returns has to be completed each financial year, those returns being known as the short tax return and the full tax return which have replaced the self assessment tax return.

The short tax return is completed according to the sales turnover of the business. Less detail then the full return is required with only totals required for businesses with a sales turnover under 30,000 pounds.

In addition to the financial year end tax return self employed business whose sales are above the vat threshold must also complete a quarterly vat return. With various types of vat schemes available the accounts package and tax software should be capable of dealing with different vat schemes.

Not all accounting packages have the facility to deal with diffenent value added tax schemes which is important to produce the desired results of an automated tax software package. Tax accounting software is a serviuce provided for the self employed client and must meet that clients requirements.

Tax Software

To be effective in satisfying the description of tax accounting software the system should also include the tax rates and rules applicable. The tax accounting can then take those tax rates and produce an estimate of the potential tax liability which is a principal concern of all self employed business when the time for filing taxes approaches.

The term software indicates automation based upon data input which the computer package then processes to produce the desired output. Tax software produces the tax requirements of the user.

A tax accounting software package takes the prime financial transactions, converts those numbers to the format required to produce the year end self employed tax returns and quarterly vat returns as required. In addition the tax software function would also use the tax rates to automatically calculate the income tax and national insurance liability

Obviously, tax reporting functionality should be near the top of your list, to save you both time and money down the road.

Beyond tax reporting capabilities, some software also comes with tax filing functions. Expect to pay more for this feature and consider if the time savings will be worth it. If you run a small business, this may not be the best way to spend your money as you’ll be able to quickly file your taxes with the help of the tax reports that the software can create. However, for larger companies, this is a great feature. Also be aware that some programs with tax filing functionality are more advanced than others. Again, accounting software reviews can be beneficial when deciding which is right for you.

Another great feature to look for is a payroll module that will track and manage payroll in a simple and easy to use interface. First, you need to set up your home based business. Do your research on the type of business you want to establish. Find out what licensing and zoning requirements you need to meet and ensure that you meet them all. Do not attempt to cut corners here.

Get the services of an accountant, even if only on a consultancy basis, to help you set up your books and records correctly from the start. Ask for help in determining deductions so that you can plan on your business expenses. Establish a routine for keeping strict records of all income and expenses right from day one. Bookkeeping 101 & Beyond Using Peachtree Accounting Software

Accounting is perhaps one of those areas of business about which people tend to be less than enthusiastic. Perhaps the idea of breaking out of the humdrum office existence and forging an entrepreneurial career, or perhaps working from home or buying into a franchise opportunity all sound fantastic, but when reality kicks in and the tax man comes knocking, accounts have to be in first class shape.

Often, to begin with, this isn’t too difficult, with either hand written ledgers or perhaps a simple, basic spreadsheet set up to take care of the basic incomes and expenditures. But gradually, little by little as time passes by and your business continues to expand and your workload becomes increasingly important, the accounts can become patchy, with errors, omissions and issues occurring that can be hard to consolidate with the figures represented by the bank balance.

It’s often all plain sailing until things start to go wrong, or the smooth running of the business starts to crumble a little. Perhaps you take on someone to help out, and have to alter your accountancy methods to take in to account the money paid to them. On the other hand, perhaps you needed some more equipment and had to take out a loan, and now have to manage regular payments out as well as those coming in. Perhaps even one of your clients or customers hasn’t paid, and money you were expecting isn’t forthcoming and you now need to start working out creditor costs.

These are just some of the issues which can easily come into play when a home business or small business starts up, and there seem to be three possible solutions. The first is simply to continue with handwritten account information, or to use a home built spreadsheet. Clearly, these two options are only viable if the business is one which is run only by you, and has a very small turnover, with basic incomes and expenditures, regular contracts and no complications or problems to calculate in.

For many people the idea of turning to a software solution, learning how to use new, perhaps complex software and trusting all their business accounts to a computer, might seem rather worrying at first, and so they prefer to opt for the seemingly safer alternative of a real live human being.

The trouble is that a real live human being, whilst reliable, is also very expensive, and this can be difficult for a small business or a home business that doesn’t have a huge turnover. Certainly as far as cost effectiveness is concerned, using accountancy software is one of the best options you can go for. However, how complicated is accountancy software really these days, and how hard is it to learn? You might also be curious as to how expensive the software is, and how stable and well supported it is once you have bought into the solution.

The truth of the matter is that although many accountancy software solutions provide a wealth of tools and facilities, these may not necessarily be needed for many home businesses or small businesses. The only aspects of the software you will need are those which you’re already managing in various ways. You will clearly need to track your bank accounts, with incomes and payments. You do this already, probably by printing out your bank statement and scribbling in the margin. Accounts software can often allow you to import data in from your online account statement.

You will also probably have a list of clients or customers – possibly in a database, a spreadsheet or a notebook, along with invoices generated or delivered. Again, software can allow you to manage this much more effectively, cross checking the invoices with your bank records to check that money really has been paid in full and received.

Clearly, you will need to be able to track expenses, although too often home business users don’t keep records of these. Not keeping such records can make it very difficult to prove your earnings and expenses when the tax man comes to call, so having one central repository where your receipts and costs can easily be entered makes it much easier to see at a glance where the money is coming in and where it is going out. This in turn allows you to analyze the efficiency of the business, identify patterns or trends, and even make forecasts as far as estimated earnings over the next few months or year is concerned.

There are actually a large number of free accountancy software products available, including Microsoft’s own version which is fully compatible with their office suite of software. Many others provide 30-day trials, and cost no more than an office chair or a meal out. You’ll almost certainly already understand most of the features and options, such as invoices, bank statements, balances, expenses and so forth, and by keeping these up to date, you’ll be able to gradually pick up an understanding of the other features which allow you to use those centralized cross checked figures in ways that no notepad or cardboard box stuffed full of paper could ever hope to achieve.

Starting a small business out of your home, offering products or services like business consulting, photography, selling on the web or a MLM? You are now faced with tracking all your expenses and revenues for your business and you certainly don’t have the money yet to engage a bookkeeper or accountant. If your business is a sole proprietorship, whether it be a Canadian Proprietorship or a US-based Proprietorship, you do not require an accountant to submit your company financials (books) to the IRS (USA) or Revenue Canada). Your business revenue and losses are reported as part of your annual personal income tax. For this small business start-up, you won’t need to buy fancy accounting software, like Quick Books or AccPac to track your business.

Only as part of incorporating Bizfare Enterprise Inc in 2005 was it a requirement to engage an accountant. My accountant did insist on using Quick Books software for my business accounting. Up until then using a simple spreadsheet template served my business accounting needs for over ten years. This simple spreadsheet accounting stood the test of multiple audits by Revenue Canada (CRA and Revenue Canada Goods and Services Tax. Both the hardcopy columnar pad and an electronic spreadsheet version of my financial books were accepted by Revenue Canada. (BTW the audits disclosed more ways for me to claim back additional taxes for the previous three years! Now that’s my type of audit!)

In your new start-up business venture, you likely will generate somewhere between 10 to 30 accounting transactions per month. These transactions would be items like Expense, Revenue (sales), Liability (Loan) type transactions and Sales Tax (Federal + State/Provincial) Collection/Deductions. These transactions are further broken down into various Business Accounts. All the Accounts you set up for your business is called a Chart of Accounts. Recording your business financial transactions (Journal Entries) can be executed with pen and ink on an accounting columnar pad or electronically with your computer using a spreadsheet program (MS Excel, Open Office, Star Office).

Whether you employ electronic or hardcopy media, you need to develop a simple Journal template to create your Business Synoptic Journal. This Synoptic Journal format has the advantage of allowing you a complete view of all your individual journal entry transactions against all your various Business Accounts. Creating this Synoptic Journal is easier to do than you think and requires no prior accounting or bookkeeping knowledge.

TIP #1: You could further reduce the accounting line items (Journal Entries) by consolidating like items such as ‘all the Sales for the month’ and ‘all parking receipts for the month’ into one totaled line item for the month.

Where do you start to identify the various Business Accounts required for your Synoptic Journal?

If you currently work for a company or government, secure of one of their employee expense forms. Look at each of the areas identified as expenses – meals, mileage, hotel accommodations, taxi, car rental, telephone & cell phone, air fare, office supplies, etc. This is an excellent place to identify the various Business Expense Accounts you need to set up for your business accounting books. To complete your business Chart of Accounts, include a Business Bank Account, Sales, COGS (Cost of Goods Sold), Sales Tax Collection, Marketing Expense and others as required. Each of these Accounts will be a listed as a title across the top of each column of your Synoptic Journal. Each row (line item) will be the individual journal transactions entered by you. The journal transactions are grouped and summarized for each business month; usually, January through December.

TIP #2: Unless your business is Incorporated or an LLC, you don’t need to go through the expense of opening a business account with your bank. Usually Business accounts charge a higher monthly fee, charge for printing checks (cheques) and don’t offer any interest on your monthly account balance. Instead, open a separate personal bank account (maybe savings). This will show the ‘taxman’ that you are keeping the business separate from your personal banking. Remember you are a sole proprietor and all your business income (and losses) are to be applied directly to your personal income tax submission ( a s per IRS and CRA).

TIP #3: One Rule of Accounting is that every time you record a journal entry (line item which applies the transaction against the appropriate business accounts) the Debits and Credits MUST REMAIN EQUAL at ALL Times. When you have completed entering a line item (journal transaction), check to ensure that the amount the the Debit cell equals the amount in the Credit cell.
